Badge & Document Printers for hire

Zebra ZD420T Thermal Badge Printer
Zebra ZD420T thermal printer that prints a name badge the second a guest checks in. No ink, no ribbon, clean output all day.

Epson EcoTank L3250 Printer
Compact Wi-Fi print/scan/copy ink-tank printer for the registration desk. Fast, low-cost A4 output and no cartridges to run dry.

OKI Pro9431 A3 Colour Printer
A3 and SRA3 colour printer. The machine we run to personalise a whole run of badges before the event, and to print programmes, signage and certificates on heavy stock.
Print-on-arrival badges, done properly
Pre-printed badges mean alphabetised boxes, no-shows sitting in the pile, and nothing ready for walk-ins. On-demand printing flips that. A guest checks in, their badge prints in seconds, and it's always spelled right.
We rent Zebra thermal badge printers, the same workhorses we run on government and corporate registration jobs. Thermal means no ink and no ribbons to run dry, clean output, and a fast first badge every time.
Why thermal, why Zebra
- Seconds from check-in to a finished badge
- No ink or toner, just media rolls you can swap mid-event
- Handles full-day throughput without jamming or fading
- Pairs directly with our tablet and kiosk check-in
The badge printer is half a check-in desk
The badge printer only earns its keep next to something that knows who walked in. Put it beside the Prism Roam 32 check-in kiosk and guests look themselves up by QR or name, then collect the badge at the same station. On a staffed counter, check-in tablets do the lookup instead. If you'd rather hand the whole desk over, our on-site registration team runs it, printers included.
The badges you print before the day
Not every badge is printed at the door. Some events want the badge itself to carry the brand: full colour, heavy card, the design printed properly rather than thermal text on a label. For those, the run is personalised in bulk beforehand, each badge taking its guest's name and QR code onto stock already printed with your artwork. That is the job of the OKI Pro9431, an A3 and SRA3 colour printer that takes card up to 360gsm.
It costs you the thing on-demand printing fixes. Pre-printed badges have to be sorted, and the no-shows still get printed. So most events that go this way keep a Zebra on the counter anyway: the confirmed list printed in advance, walk-ins and corrections handled at the desk.
The A4 printer on the same desk
Badges are one job. Paperwork is the other, and it always turns up on the day: a pass to reprint, a sign for the door, a form someone needs scanned. The Epson EcoTank L3250 covers that side of the counter. It prints, scans and copies A4 over Wi-Fi, and it runs on refillable ink tanks rather than cartridges, so the cost per page is next to nothing.
The three machines do different jobs: the OKI for the badge run before the event, the Zebra for badges as guests arrive, the L3250 for everything else on the day. Hire any of them on its own if that is all you need.
One more printer we rent does something different again. The DNP DS620A is the dye-sublimation printer inside a photobooth, dropping a 4R photo in about eight seconds.
Badge printers arrive loaded with a media roll and we bring spares. The L3250 comes with its ink tanks already filled. Add check-in tablets and an on-site crew member for a counter that runs itself.
